Most small businesses lose their best acquisition channel by ignoring it. A happy customer who already told a friend about you is worth more than any Meta ad, and you spent nothing to earn the introduction. The reason referral programs still don’t run at most small businesses isn’t reluctance; it’s that stitching together a coupon, a tracking link, and a reward payout by hand breaks the moment two customers refer the same person.
That’s the entire job of referral software. Give every existing customer a trackable link, attribute the sale when a friend converts, block self-referrals, and pay out the reward without a spreadsheet. Everything else (AI campaign generators, promoter marketplaces, custom domains, tiered loyalty modules) is a feature layered on top.
Who this is for
This guide is for owners and founders at businesses with somewhere between 1 and 30 employees who already have paying customers, don’t have a developer on staff, and want to know which platform is worth the monthly bill. If you haven’t shipped a product yet or you have fewer than a dozen customers, none of these tools will help. You don’t have the demand side. Come back after you’ve built a small base of happy customers who might mention you unprompted.
If you sell physical goods on Shopify, the answer is likely ReferralCandy or UpPromote. If you sell a service, a subscription, or anything that lives in a CRM, look at Referral Factory or GrowSurf. If you sell to a business audience, referrals often show up alongside review management and newsletter work in the same weekly stack.
Our pick: ReferralCandy
ReferralCandy wins on two decisions the company made about its own product. First,
every plan includes every feature, and you choose your plan based on referral and affiliate volume rather than which capabilities you need. A higher fixed monthly fee just buys a lower variable success fee, so upgrading can actually cost you less
. Second,
the success fee only applies to net-new customers your program brings in, on each new customer’s first three orders. Repeat orders are free of success fees forever, and there’s never a fee on the reward you pay out to your advocate
. Both decisions matter more than any marketing feature, because they turn a program that works into a program that keeps paying you back on the customers it acquired.
The math is what to plan around.
ReferralCandy has four tiers: Basic ($39/mo + 10.5% success fee), Grow ($79/mo + 3.5%), Scale ($249/mo + 1.5%), and Enterprise ($799/mo + 0.25%), and there’s no free plan, only a free trial across all tiers
. That entry-tier fee sounds cheap and isn’t:
at $10,000 in monthly referred sales, the Basic tier costs a $39 base plus a $1,050 success fee, for a total of $1,089 monthly
. The same $10,000 on Grow works out to about $429, which is why upgrading is the first move once a program starts converting.
Distribution is the other reason it’s our pick for a small ecommerce brand.
Pricing is the same on BigCommerce, WooCommerce, Magento, and custom stores, and the Shopify app is one-click while other platforms connect via plugins or an email-based install
. If you’re not on Shopify, most of the other tools in this category get harder fast; ReferralCandy is the one that treats every platform the same.
The trade-off is honesty about who pays first. The $39 Basic tier is the highest-fee plan in the lineup, so a store that grows its program past a few thousand a month is paying to be on the wrong tier. If you use ReferralCandy, model the true monthly cost against Grow before you sign up.
The runner-up: Referral Factory
Referral Factory makes it easy to launch and manage referral programs and affiliate programs without writing a line of code, offers an AI-powered referral program generator, advertises access to 100,000+ verified affiliates, integrates natively with HubSpot, Salesforce, Pipedrive, Intercom, and via API, webhooks, Zapier, or Make, automates referral tracking, rewards, and communication, offers 200+ reward types, is GDPR, SOC 2, and ISO 27001 compliant with self-hosting available, and prices from $95/month
. That’s a lot in one sentence, but it’s the reason to consider it: for a small service business whose real customer data lives in a CRM, no other tool in this comparison matches the integration depth.
The pricing shape matters.
The entry-level Starter plan at $95/month is limited to 500 users and one campaign, with no analytics, API access, or teammate collaboration, and Referral Factory’s higher tiers unlock unlimited campaigns, webhooks, referral analytics, and significantly larger user pools
. Most small businesses will end up on
the $200/month Basic plan for unlimited campaigns and CRM integrations, and note that G2 reviewers flag that important features like webhooks are restricted on lower plans and that white labeling with a custom domain only becomes available on the Pro plan at $400/month
. There’s no success fee, so a program that converts well doesn’t inflate the bill. That’s the real reason to pick Referral Factory over ReferralCandy for a subscription or service business.
The AI features are worth naming carefully because they’re the vendor’s own claims.
Match AI is a new feature from Referral Factory that connects brands with 100,000+ verified affiliates, influencers, and creators, and it’s a smart matchmaking tool designed to help brands get more referrals by automatically connecting them with the right promoters for their niche
. We haven’t measured the quality of those matches; we’re noting the feature exists and is included on the paid tiers.
For SaaS and subscriptions: GrowSurf
GrowSurf’s product decisions read differently from the ecommerce tools.
If you ever go over your participant limit, GrowSurf automatically upgrades you to the next plan up, prorated, so you can start as small as possible and automatically scale with your growth
. That auto-scale model is a real fit for a SaaS founder who doesn’t want to guess a participant count on day one.
Definition control is the other reason SaaS teams pick it.
For referral programs, you have total control over what counts as a referral, for example, referrals can be defined as new leads (when you first capture their email address) or only when new leads make qualified actions such as making their first purchase or if their status gets updated in your CRM
. A SaaS company that only wants to reward on paid conversion (not trial signup) can enforce that natively. GrowSurf’s own G2 material acknowledges the trade-off:
while GrowSurf’s niche specialization is a strength, it also means that companies outside the tech industry, such as eCommerce, retail, or service businesses, may not find the platform as suitable for their needs
. Take that as a signal. This isn’t the tool for a candle brand.
One quiet feature small businesses tend to underrate:
GrowSurf can collect the right tax form from everyone you pay (W-9 for US payees and W-8 for international ones) through a secure hosted form and automatically hold payouts until tax info is complete, and at year-end can prepare and file 1099-NEC and 1099-MISC forms for you. You never handle Social Security numbers and stay the payer of record
. The moment a referral program grows beyond casual payouts, that compliance layer starts to matter.
UpPromote is what a Shopify-only brand should install if the goal this week is “run a working affiliate program without a bill.”
It’s the #1 rated affiliate app on Shopify, holds 4.9/5 from 3,200+ reviews, carries the Built for Shopify badge (which means Shopify has verified it meets their top standards for speed and reliability), a free plan is available, and paid plans start at $29.99/month
.
The free plan includes unlimited affiliates, one program, and core tracking, and paid plans start at $29.99/month with multiple programs, PayPal auto-payout, Marketplace access, and advanced commission types
.
The performance-fee math is small but real.
The Free Plan is no cost and suitable for getting started, Growth is $29.99/month plus 2% of successful referral sales for growing businesses that need more advanced tools, Professional is $89.99/month plus 1.5% for businesses ready to scale, and Enterprise is $199.99/month plus 1% for large businesses requiring customization and the full suite of features
. At $10,000/month in referred sales on Growth, that 2% is another $200 on top of the $29.99 subscription. Still meaningfully cheaper than ReferralCandy’s entry tier, but not free.
UpPromote is Shopify-only in practice. If your brand outgrows Shopify or you want to send a referral to a non-Shopify checkout, you’ll end up shopping again. Pair it with your upsell app of choice and treat it as the referral layer for a Shopify-native stack.
Why Friendbuy isn’t ranked here
Friendbuy is a legitimate platform.
Its Referral Platform is built for scale and Friendbuy says it drives 5-25% of new customer acquisition
. But it sells to a different customer than the ones this guide is written for.
Friendbuy doesn’t list a price: there’s no pricing page, no plan table, and no number you can check before you talk to sales, and instead you book a demo, share your traffic and goals, and get a custom quote, which for a store owner comparing tools makes Friendbuy hard to budget for
. Small businesses don’t have time to sit through an annual sales cycle for a referral widget, and we don’t rank products a small owner can’t price on their own.
How to choose between them
Ask three questions before you sign up for any of these.
The first is where your customer data lives today. If it’s in Shopify orders, ReferralCandy or UpPromote is the shorter path because the app installs from the Shopify app store and reads orders natively. If it’s in HubSpot, Salesforce, Pipedrive, or Zoho, Referral Factory’s native CRM integrations save weeks of Zapier plumbing. If it’s in your own product database and you have a developer, GrowSurf’s REST API and event-based referral definitions are worth the setup effort.
The second is whether you want a flat bill or a variable one. ReferralCandy and UpPromote take a percentage of referred sales on top of the subscription, which is cheaper when programs are quiet and more expensive when they work. Referral Factory and GrowSurf charge flat monthly fees, which are more expensive to start and cheaper once a program converts. For a business with predictable margins, flat pricing is the easier line item to defend.
The third is what “AI” you actually need. All four tools use “AI” in their marketing. Referral Factory publishes the clearest, most specific feature (Match AI’s promoter marketplace) and calls it out in its own help docs. The others’ AI claims are lighter. Don’t buy on the AI label; buy on the pricing model, the integrations, and the platforms it supports. The AI feature is a tie-breaker, not the reason.
Do the math for your own numbers before you sign up. Model each tool at the referred revenue you actually expect over the next three months, add the reward you’ll pay out per referral, and compare the total. The right tool is the cheapest one that fits your stack and lets you launch this week.
