If your week already has enough to do without babysitting a sending platform, some of these tools will save you time and some will absorb it. The line between the two runs through pricing model, not feature count.
Who this is for
This guide is for founder-led and small B2B teams sending cold email to book meetings with prospects who don’t know them. If you sell to consumers, none of this applies. B2C growth comes from distribution, content, and partnerships, not from cold outbound. If you already run a mature sales org with a Salesforce-backed rep team, you’re probably past this list and into Outreach or Salesloft territory. Everyone else, read on.
Our pick: Instantly
Two decisions determine whether a cold email operation scales cleanly or bleeds money: how the vendor prices sending, and how the vendor prices lead data.
Instantly’s pricing model is based on email volume rather than user count, meaning a 20-person team pays the same as a 5-person team if they’re within the same sending tier.
That single design choice is why we recommend it for most small teams.
The lineup for 2026:
Growth is $47/month ($37.60/month billed annually) with 5,000 emails and 1,000 contacts; Hypergrowth is $97/month ($77.60 annual); Light Speed is $358/month ($286.30 annual) with 500,000+ emails and 100,000+ contacts.
All plans include unlimited email accounts and unlimited email warmup.
The Hypergrowth tier is where most working teams land. High-volume monthly sending across unlimited inboxes beats every seat-priced competitor at this range, and adding senders as you hire doesn’t push the plan up. That is Instantly’s whole argument.
The trade-offs are honest. The lead database is a separate subscription; the $47 doesn’t include it. And there’s a documentation-level oddity worth knowing about:
Instantly’s own pricing page currently shows conflicting figures for the Hypergrowth email allowance, with 125,000 emails per month appearing in one view and 100,000 emails per month appearing in the feature comparison and annual view. Buyers should confirm the current figure directly with Instantly before committing.
The runner-up: Smartlead
If you run outbound for more than one brand (a small agency, a consultancy with two products, a lead-gen shop), Smartlead is a better buy than Instantly. The difference is the white-label client portal. Whitelabeling is available as an add-on at $29/month per client workspace, letting agencies brand the platform as their own and manage each client from a separate workspace. The option to add clients is available from the Pro plan onwards, and on Unlimited Prime you already get 3 clients/workspaces included.
The plan lineup:
Smartlead offers four plans: Base at $39/month, Pro at $94/month, Unlimited Smart at $174/month (most popular), and Unlimited Prime at $379/month. Annual billing saves 17% across all plans.
All Smartlead plans include unlimited email accounts at no extra cost. You can connect as many mailboxes as you need and scale your outbound without paying per account.
The catches: the Base plan ($39/month) covers 2,000 contacts and 6,000 monthly sends. Pro ($94/month) adds API access, webhooks, and CRM integration for growing teams. So if you need Salesforce or HubSpot sync, or if you’re routing campaign events into another system, Base is out. And verification credits are available as a value-added add-on across all plans, priced on a one-time or monthly basis; on Unlimited Smart and Prime, verified prospect emails are included up to the listed limit. This matters because the verified-lead allowance, not the sending volume, is often what pushes a team to a higher tier.
For a solo founder or a two-person team, Smartlead and Instantly are close enough on price that the deciding question is agency features, not headline dollars. For anyone running client work under their own brand, Smartlead wins on the portal alone.
The budget pick: Saleshandy
If you’ve never sent cold email before and you’re not sure the motion will work for your business, Saleshandy is the cheapest way to find out.
Saleshandy’s Email Outreach plans are Outreach Starter at $25/month (billed annually), Outreach Pro at $69/month, and Outreach Scale starting at $139/month. The metering unit is active prospects (2,000 on Starter, 30,000 on Pro) plus a monthly email cap (6,000 on Starter, 150,000 on Pro, 240,000 on Scale), and all plans include unlimited email accounts.
The unlimited-inboxes-on-Starter part matters more than the $25 headline. Most tools cap mailboxes on their cheapest tier; Saleshandy doesn’t. That means you can buy a handful of pre-warmed inboxes elsewhere, connect them all, and run a real multi-inbox test on the entry plan.
Where Saleshandy stops being cheap is the add-ons.
Two costs sit on top: the Email Infrastructure product (domains at $14/year and email accounts at $4/month), and the separate Lead Finder data product, which is credit-based.
If you already have lead lists from another source (Sales Navigator, an existing CRM, exported from a partner), you can skip Lead Finder and stay near the sticker price. If you don’t, the credit meter is real.
The realistic upgrade path most teams hit: Outreach Pro at $69/month annual gets you 30,000 active prospects and 150,000 emails per month, plus condition-based subsequences, 5,000 email verification credits, and CRM integrations. The jump from 2,000 to 30,000 prospects is massive.
The multichannel option: Lemlist
Lemlist is the tool to buy if, and only if, you want email, LinkedIn steps, and cold calls in the same sequence, orchestrated in one place. That’s a real product; Instantly and Smartlead don’t do it.
The 2026 pricing changed shape mid-year.
Lemlist costs $69 per month for the Email plan (or $55 per month on annual billing) and $109 per user per month for the Multichannel plan ($87 annual). The headline change this year: the Email plan is now priced per workspace with unlimited users and a 50,000 emails per month cap, while Multichannel stays per user with unlimited sends. Enterprise is custom quoted for teams of 5+ users.
The Email plan includes unlimited users and email senders, the 650M+ lead database, email and phone number finder (credit based), unified inbox, deliverability hub and warm-up, and CRM integrations.
The credits system is the friction point.
Credits are lemlist’s currency for enrichment, verification, AI capabilities, and call minutes, priced at $0.01 each. A verified email costs 5 credits and a phone number costs 20 credits. You can top up anytime directly from your account without upgrading plans.
Two things to know before you buy Lemlist. First, per-seat multichannel adds up fast for a team: a five-person team on Multichannel at $109/user/month pays $545 a month before any add-on. Second, the LinkedIn side has real limits: LinkedIn caps daily actions far lower than email, and overdoing connection requests gets your personal account restricted. Treat the LinkedIn channel as low-volume and high-signal, not a second blast channel.
If your motion is email-only, Lemlist’s premium buys you nothing over Instantly. If you genuinely run LinkedIn plus email plus calls, it’s the only tool on this list that does all three inside one sequence builder.
The database play: Apollo
Apollo is a fifth pick, but it belongs in a different bucket. It’s a sales intelligence platform first; the sequencer is a fine second act, not the reason to buy.
The database is Apollo’s real product, and Apollo integrates with Salesforce, HubSpot, Outreach, SalesLoft, Marketo, Sendgrid, LinkedIn, and all email providers. Two mechanics matter for budgeting.
Email campaigns are included on every account; however, you can only connect Gmail email accounts on non-paying plans. After paying, you are able to connect email accounts from Microsoft Office or any other provider.
For a small B2B team, Apollo makes sense as the data layer that feeds Instantly or Smartlead. Use it for the database, export to your sequencer, and skip the built-in sending unless you’re on a very tight budget.
How to choose between them
The decision tree, short version:
- If you’re email-only and want the cleanest volume-based sending model, buy Instantly.
- If you send under one brand and just want to test the motion cheaply, buy Saleshandy Starter.
- If you run cold email for multiple client brands, buy Smartlead Unlimited Smart.
- If your sequences need LinkedIn steps and calls, buy Lemlist Multichannel.
- If you need contact data more than a sequencer, buy Apollo and pair it with one of the above.
Two things that don’t change with the tool. First, cold email is infrastructure work. Expect to spend on domains, inboxes, and warmup on top of whatever plan you pick. The sequencer is one line item in a stack. Second, deliverability is downstream of the list quality more than the tool. A $47 sender pointed at a scraped list with a 15% bounce rate will burn domains faster than any pricing tier can save you.
When not to buy any of these
If you’re a solo founder who doesn’t want to buy domains, warm inboxes, write sequences, monitor deliverability, and manage a dashboard, none of these tools solves your real problem. They all assume you’re the operator. A done-for-you service is a different category: you’re delegating the work instead of buying the software. The tools on this list belong to teams that want to run outbound themselves.
